Invoices: write off, delete while new, clearer voids, and reinstate a dropped member
An invoice can now be written off (with a reason and an undo), deleted outright while it is new and unpaid, and a voided one no longer looks like money owed. Dropping a member can write off what they owe and move them to Non-Member in the same step, a dropped member can be reinstated from the status dropdown, and Email invoice lets you pick the recipients and a template.
Kelli's billing list from the first monthly run: the pieces GrowthZone had and the pieces it never did, all on the membership's Renewals tab.
- Write off: forgive what is still owed on an invoice. It stays on the record as written off with the date and reason, the amount comes off the member's balance, and Undo write-off restores it. Paid invoices cannot be written off.
- Delete: remove an invoice completely, but only within 24 hours of creating it and before any payment is recorded. After that the button disappears and you void or write it off instead. There is no undo on a delete.
- Voided and written-off invoices show the total struck through and Due $0.00, with the date they were closed, instead of a red amount due. Every invoice card also shows its invoice number and the date it was invoiced, or created if it was never sent.
- Invoice references at a glance: invoice number, invoiced date, paid date, method and reference on every card, and a new Invoices list on each person's record covering every membership their organization holds.
- Drop: the drop dialog now offers Write off open invoices (ticked when there are any, with the count and total) and Change member type to Non-Member, which clears the dues tier and sets dues to zero.
- Reinstate: a dropped or lapsed member has a Reinstate button and a Reinstate entry at the top of the status dropdown. Pick the type and tier they are rejoining at, the date the new term starts, and whether to raise the invoice.
- Email invoice two ways: the quick button sends to the point person (or the organization's address) straight away and says who that is. Email invoice… opens a dialog to tick the people who should get it, add another address, choose one of your email templates or the standard invoice email, and add a note. Every copy is logged on the record.
